Summary

We are currently seeking a Project Coordinator to join our field team in Charlotte, NC. The ideal candidate will have prior heavy/civil construction office management experience and/or field engineering experience. Additionally, they will have excellent written communication skills, project coordination, or project management experience. This position will support our operations and administrative functions at the job site, including interfacing with onsite managers, engineers, inspectors, and construction team members. Key responsibilities include handling job site deliveries and materials tracking, payroll administration, and field office scheduling needs.

While this position will be located at our job site in Charlotte, NC, future travel (up to 100%) or relocation to other job sites may be required. This is a great opportunity for an entry-level construction manager or engineer to get their foot in the door with heavy/civil construction, especially if you’re seeking experience with FAA and aviation industry work.

Responsibilities

Field Management and Coordination Activities

• Track project progress; report out as necessary or requested.
• Monitor installation and other building activities, especially with subcontractors.
• Track and maintain material inventories (if needed).
• Complete regular (weekly) Stormwater Pollution Prevention Plan (SWPPP) inspections.
• Coordinate activities and requests with utilities companies and providers, including submitting meter-reading requests, as needed.
• Request and renew required job-site permits (e.g., “Hot Work”).
  
• Assist the Project Manager with gathering data for, writing, reviewing, and submitting product data information (submittals).
• Maintain project document revision releases.
• Act as the liaison between engineers, subcontractors, consultants, suppliers, inspectors, and clients.
• Schedule and manage subcontractor meetings.

Business Office Activities

• Manage onsite deliveries, sales solicitations, and office phone communications. 
• Compile and track weekly payroll; ensure accuracy, log weekly time, and interface with the Payroll Manager.
• Support corporate controller and job site managers with basic accounting tasks (e.g., payables).
• Procure materials and parts, including pricing research and physical acquisition of the material or scheduling deliveries.
• Accurately cost-code delivery tickets and handle delivery/material billings.
• Support superintendents, project managers, and others with preparing for job-related meetings and/or other reports.
• Assist with new-hire onboarding as well as other people and talent administration tasks.
• Maintain inventory and supply of office supplies, PPE, and first-aid equipment.
• Work with and complete administrative tasks associated with job site subcontractors.
• Monitor changing weather conditions that may impact work on the job site and alert the crew, as needed.
• Maintain a clean office environment and manage any outside cleaning or maintenance services.
• Other tasks and duties, as assigned.

Qualifications

• At least one year of experience with a construction company or on a construction job site, preferred. Experience working as a Field Engineer or Project Engineer with a heavy/civil construction firm is a plus.
• Associate or bachelor’s degree in Construction Management, Civil Engineering, or related field, preferred.
• Ability to multi-task and handle multiple deadlines.
• Intermediate to advanced skills/proficiency in Microsoft Office applications (Excel, Word, and Outlook), preferred.
• Excellent written and verbal communication skills.
• High level of attention to detail and organization.
• Demonstrated ability to make sound judgments and ethical decisions.
• Open to travel (up to 100%) and/or relocation for future roles.
• Valid driver’s license.
• Ability to gain clearance in restricted/high-security zones. (Airport AOA, Military Bases, etc.)
• The ability to attain a badge at BNA and perform badging applications for Hi-Way Paving employees, required.
