Fleet and Vehicle Coordinator

The Fleet and Vehicle Coordinator will play a vital role in supporting the administration, management, maintenance, and utilization of our construction equipment and vehicle fleet. This role requires meticulous attention to detail, strong organizational skills, and the ability to communicate effectively with various stakeholders. The individual in this position will ideally be located in the Columbus, OH metro area, although some travel may be required (less than 25%) to our job sites (Nashville, Charlotte, Raleigh-Durham, and others).

Responsibilities

Fleet Maintenance and Monitoring

• Maintain accurate records of equipment and vehicle usage, maintenance, and repairs.
• Schedule and coordinate routine inspections, maintenance, and repair services for the fleet (with internal and external resources).
• Monitor equipment and vehicle condition, report issues, and recommend preventive measures to minimize downtime.
• Assist in developing and implementing maintenance schedules and protocols.
• Assist with registering new vehicles with applicable state and other agencies (i.e., Ohio BMV).

Inventory Management

• Track and manage inventory of spare parts, tools, and supplies necessary for equipment maintenance.
• Collaborate with Equipment and Operations teams’ managers to ensure timely replenishment of inventory.
• Assist in managing relationships with suppliers and service providers.

Safety and Compliance

• Assist in promoting a strong safety culture within the organization, ensuring all fleet-related activities comply with safety regulations and company policies.
• Assist in conducting, coordinating, and tracking safety training for equipment operators and maintaining safety records.
• Support efforts to keep the fleet compliant with industry regulations and standards.

Documentation and Reporting

• Prepare reports on fleet performance, maintenance activities, and costs.
• Maintain accurate records of equipment warranties, service contracts, and repair histories.
• Assist in tracking and analyzing fuel consumption and costs.
• Create and run telematics reports as well as create dashboards.

Coordination and Communication

• Liaise with equipment operators, mechanics, and other staff to coordinate equipment needs for various projects.
• Communicate with project managers and supervisors regarding equipment availability and allocation.
• Collaborate with the Fleet and Vehicle Manager to ensure the smooth operation of the fleet.

Requirements

• High school diploma or equivalent (Associate's degree or relevant certifications, preferred).
• Minimum of 2 years of experience in a similar role, preferably in the construction or heavy equipment industry.
• Basic knowledge of heavy construction equipment and vehicles.
• Proficiency in Microsoft Office (especially Excel) and familiarity with accounting/ERP systems (i.e., Vista/Viewpoint) as well as fleet management software (i.e., HCSS) is advantageous.
• Strong attention to detail and organizational skills.
• Effective communication skills, both written and verbal.
• Ability to work in a fast-paced environment and adapt to changing priorities.
• Commitment to safety and compliance with industry regulations.
• Willingness to travel to project sites occasionally (up to 25% of the time).
